Before I even start on next years beast it would be a good time for you to come up with ways we can improve on it. I are always looking at ways we can change it for the better. We pack so much into the weekend maybe to much and by Monday evening we always end up over running.
The beast is just that a nightmare, so how can we make sure we finish earlier. One idea is to have the Auction on the Sunday at Dartington.
Anyone got any more idea.

You must have done well this year. we were 3rd car fom end and we did not have to queue at all. We were by the Landmark before we had to slow down. I think the traffic lights along the way through Ilfracombe do us a favour.

Could we have some of the areas fenced off, even if it's with red and white tape? Once the cars are parked up, the tape can be taken down?
How about possibly setting off a bit later on the Monday and having the auction before setting off? That way everyone will be there and some of the people watching might bid?? We could make sure last check in is at 10.00 and briefing and auction is at 10.30 We could also have a drivers briefing at the same time.
The only problem I can see with moving the auction is would it put more pressure on the people counting the money to get a total quicker?

That raises another point - if the street collections aren't included, that's going to make the total dip, but the only way to include them is if they are counted at the end.
Although, the auction could be done at the start with a sub-total and have the prize-giving and speeches at Ilfracombe with a total total...
Possibly, but would we miss out on many bids from people who only do the Monday?
You also miss out on bids from the ones that have gone home. On sunday they are more lively and hyped up and might be more keen to part from their money. At Worthing yesterday, the auction went on too long and so did the raffle! I got really quite bored with it all and it turned a bit cold and cloudy .
I know I didn't do it this year - but just a thought on the auction. Some people just do Monday, so having the auction on Sunday may lose some bidders but some people don't stay due to having to get back on the Monday either - how about sealed bids that way those that can't be there for the bidding can bid as well. You just need to a summary of items with lot numbers in with the run pack or with the tickets.
Also, as you now use both car parks at lee abbey, limit the time to 30 mins from arrival - only remember that the 1st lot have a lengthy stop compared to the last 100 cars that get there and then have to go shortly afterwards due to the time it takes to get everyone parked. Also, you could use this time to get the marshalls at the back to the front instead of parking up before lee abbey,as this takes a good 30 mins or so.
re the street collection - why not take an average of the last 2 years for this part - until its counted I would imagine it wouldn't be too far out.
Hi Would it be possible to consider slightly shorther lunch breaks. Most years we are lucky with the weather and it is nice to have achat and a break, but if it were raining it would not be nice waiting to restart. At Lee Abbey we were meant to leave at 2:15 but did not finally get away until 2:50. I appreciate there are safety checks to do and those last in the line arrive 20 minutes behind the first cars but an hour and 10 mins for lunch seems one area we could save a little time. Likewise Hartland Quay and Snapper stops, mean that most people are eager to get restarted.

The stop at snapper (on the road) is to enable the Marshalls to get the line so they can park you up at lee abbey the lenght of this stop deppends on how broken up the line gets and how long it takes for the last car to catch up.

Did you see the length of the queues for the gents toilets at Lee Abbey!
There is a bush urinal at the bottom of the lower car park that the boys could use but only a few knew it was there. The more observant could smell it.
I spent over half my break time in the queue for the loo. Marshals could have a perk?
First my main concern is not how much money we raise but how safe the event is, not just for the Bikers or the Mini drivers but also the members of the public that come and watch us, that is my main priority and my No 1 concern.
The money we collect and raise is important but will never be greater than the safety of everyone.
The beast within the grand tour really started to show it’s self when we began going into little Bridge House. The queue to get in is nearly a mile long and when we get out we are all broken up. We have never been able to make up the time it takes to visit the hospice and who of us now would say lets not go there..
We changed the route after we caused a massive traffic jam in Barnstaple because the option the police gave me was send the minis out 20 at a time.
We now stop just before the bridge so that we can regroup and allow the bike & mini marshals to get back to the front because they look after the safety of everyone when we park. Who else in the country would park 300 minis on the side of the road.
As to the car parks we stay as long as it takes every one to go to the toilet and even when I left Lee Abbey with the bikes there were still queues at the ladies toilet.
We can move the auction that would not be a problem we might lose a bit of money on the other hand we might get a bit more who knows. That does not worry me.
We will also look into the Judging of the minis to see if there is an easier way, without the waiting.
But whatever happens I will not increase the pressure on the people counting the money. That’s the problem.
It is so hard to imagine that we only travel about 50 miles on the Monday but that 50 miles fills you so many emotions the adrenalin and the tears, the aching arms from the waving and the cramp in the knees from the queuing. I doubt there is not one person who is not knackered by the end of the day.

it is down the far end where the cars come in, but the public just go through the tape or under it
if we had a few more marshals down there it would help, there was only 4/5 of us

Just a thought on Marshalling places we're going to...... There were a few of us who stayed behind at the Burrows on Saturday evening to make sure everyone got out without a problem. Jules and I decided we'd go straight to Bideford Quay to start parking the cars up. This didn't work as some of the Minis lost the car in front and did what we did so there were quite a few already parked up by the time we got there. Similarly, myself and Lottie (pick-up) left Snapper behind Terry and Linda and were able to get people through Lynton without too much hassle. My point is that if there are a small number of Marshalls prepared to sacrifice a part of the run(s) then we could have a presence at all stops before the main body of Marshalls arrive. Sorry if this comes as long winded but I think it may help in the long run.
could we leave at 10.30 or 10.00 instead of 11 as most people are in position by then ??
North Devon is used to our itinerary so it seems a shame to dabble with that and I think that 10-11 hour is a time of real excitement. But I think it's a good idea too.
What ever you do , do not say any thing about cats. As to the leaving time 11-00 is fine, to many problems if we change it. We are just going to shorten the end bit. No Auction, less voting slips Do the prizes first and then the raffle.

Is there any reason why we can't ask for the sponsor money to come in as cheques where possible rather than all as "real money" that way we do not have so many coins, notes to count?
Is all the money counted at Ilfracombe from the street collection on that day or does it include sponsor money handed in as well?

I turn mine into cheques which hopefully makes it easier for everyone. I think everyone should be asked for their sponsorship money as they check in and it be line controlled. The giftaid sheets are now numbered so Terry can work out if anyone has not collected sponsorship.
Just my little opinion, why fix something that isnt broken? Surely everyone enjoys the tours as they are, we have loved each and every one that we have done. The toilet thing will always be an issue, over what, 500 people trying to go to 3 or 4 loos? Everyone has a different bladder tolerance and on different days. (Im usually in pain by snapper but was fine this year) We missed the auction last year because we had a restaurant booking and I was gutted, so much more fun to be part of it this year, even in the gloomy weather. I understand that some people have to leave earlier than others but its a nice finish to the weekend.
I wonder if the early finish on the sunday is needed because everyone in fancy dress needs extra time on the monday morning. Personally I wouldnt want anything changed. Its a marvel how everything comes together each year.
Plus, one final thing, you cant please everyone, all the time. Keep doing what you do because its fantastic.

the money is counted all over the weekend as we receive it. Carol (in the end car) tried counting money from Lee Abbey to Ilfracombe - i think with limited success!

Do people actually find it boring? I didn't find it boring myself, I quite enjoyed seeing Christopher Lee playing the Mayor of Ilfracombe

A lot of people have to travel home after and I think some of the remainder are beginning to get bored. I certainly heard a few moans and groans from a few people around us. especially if they have no interest in the auction. You were busy bidding for Moonbeam. Terry is excellent as an auctioneer and we can relate to him.

It looked like some people were leaving almost as soon as they'd got to Ilfracombe. I doubt these would be bored ones, probably the first who needed to get off. It's true there were fewer people at the start of proceedings than by the time the auction was well underway.
I'd happily volunteer to draw up a list of lots for the auction items that Terry could use as a crib-sheet - including things like the donator (if they want), retail cost, interesting facts etc, which could also take some heat off Barry trying to describe stuff whilst rooting round in the box
Would this make the auction go quicker or be more exciting? Do we know what most of the items are before setting off on Monday? Any additional items could be noted once we get to Ilfracombe, or even during the auction itself? Can I ask any more questions in a single post?
This could be done even if the auction was on the Sunday - although I think those who only do the Monday would still be missing out, whether or not they had any intention of bidding.

OK, he's an antiques expert, but I'm sure the principles are the same: how much is it worth, how much can I get for it out of the people in front of me...
All of this sounds a bit like I'm suggesting that Terry be replaced as the auctioneer - that's not the case. But as a punter, if I knew someone at least mildly famous that I might know of was coming along (whether to flog a few bits or just stand around trying to look cool) then it might keep me there a bit longer...
Doing the auction on the Sunday might have similar problems to the Monday; people were leaving Dartington quite soon after arriving, and not everyone came back with our convoy. Also, the Monday-only people would miss out. But then again, it might be a roaring success.
I think unless we know for definite whether the problem is:
- with Monday afternoon in general - the order of events once we get to Ilfracombe - how long each bit takes
we can't say for sure if:
- people are getting bored by the time the auction starts - people are wanting to get home - some people just want to whinge.
Might it be worth having a quick questionnaire in with the application forms (or even the voting slips) next year?

Might be able to nail it down for 2011, then... or perhaps the best thing is, after all, to leave it exactly as it is.
A very simple answer Dartington Crystal shuts at 4-00pm on the Sunday so it would be hard to do the Auction there. All we do is change the order of presentation. 1. Welcome every one including the Mayor 2 Let the Mayor also welcome everyone 3 Stay thank you to every one that helps including the bikes and marshals. While everyone is there. The voting slips should be ready by then (we will get more people to help sort them) 4 Present the trophies 5 Raffle ( We have already reduce the items in the raffle) 6 Auction for those that want to stay, if everyone goes home there will be nice bargains to be had for those that do stay. If the weather in nice next year more people may stay.
PS I do not think people get bored I think they just want to find out who won the trophies and get started for home. Anyway we do not give people enough time to get bored except at IIfracombe.

Not sure but I do not think they mind. The only think they do not like doing is counting the cash.

There are many people who stay for the rest of the week, so why can't we do something informal on the Tuesday, a lunch time run to a pub or a barbee or one other day in the week
I think changing the sequence is good. People should not book their meals so early, they know the length of the day and they can eat later.
And in future I would pack my chairs and wear a coat. Not rocket science.
The opnly trouble is if people are going back to westward Ho etc and they aren't getting back till late alot of place stop serving at 9 pm and by the time they've got changed etc it's really tight fro time

At Ifracombe i put nearly a whole reel of tape around the car park every year but the tape does not deter the public from crossing. It is a first line effort but it is up to the marshalls to stop the public from getting into the car park. One of the gripes i have about ilfracombe is that when people park there cars and get out they start to walk between the other cars and this then gives the green light for everyone to follow. Herds of sheep following each other comes to mind.

The Marshalls dd keep asking the public to wait for the casrs to be parked but a few didn't want to listen and pushed past which then meant everyone else followed. Maybe we need to put up notices warning people of the dangers of moving around while the cars are moving. ALso maybe we need to tell the Mini owners to stay with their cars or walk up behind the parked cars on the grass.
Mostly it comon sense but some people just don't want to listen to what people in orange jackets are saying to them

Like the new order of things on the Monday and how could anyone get bored listening to you Terry We always stay the rest of the week and it would be great to have an informal run out but Im worried that it may be to much for the older ones there (Did I mention anyone) Terry and the gang must be warn out looking after us lot over the weekend....
we stayed to the end of the auction but went off soon after that cos of getting the tent down. Not boring but agree with change of order of stuff for those who want to find out who won what then get off home (some have further to travel than others) My only suggestion would be to put in a food stop on the monday so people got fuller tums in the evening tho as our first LGT not sure i have room to comment really. didn't realise we were supposed to stay in the car till everyone parked at ilfracombe, maybe we weren't the only ones? Our note to ourselves next year is to book tues off work so can take the tent down in peace so to speak. It was great as it was tho fantastic job to all involved. well done.
Finish time at Ilfracombe is too late for those going back to London, as I found the first year I did it - I didn't realise it would finish so late and had to go back to Westward Ho, then drive back to London and didn't get home until the early hours - after being up since the crack of dawn and driving a lot of the day. I now stay over, but not everybody can take another day off work. This year my son and his girlfriend were with me for the run and had to get back, so we both drove to Ilfracombe Sunday night and left his non-Mini there. I took him straight to his car when we arrived at Ilfracombe on Monday. It still took him until after 10.00pm before he got home with Bank Holiday traffic, so he was glad he didn't stay for the auction etc. although he would have liked to.
Is it possible to do the auction somewhere else early Sunday night after returning from Dartington? The clubhouse at Braddicks springs to mind if they'd close it to other people for an hour or so. Other than individual club get-togethers there's nothing organised for evening entertainment, so people could eat and drink (if they're not driving after) while it's on and socialise after rather than rushing off. You might also be able to get some of the Monday only people to come along for the evening if they've driven down during the day on Sunday.
Be a lot of dogs tied up outside. Would'nt leave mine(well maybe if I thought someone might pinch him!) And they are not allowed to be left unattended in hotel rooms or self catering properties.
Could Braddicks handle that number of people, you'd probably be talking 500+, also a lot of people don't stay at Braddicks, we stay a good 20 minute drive away. Not sure I travel back specially for the auction, certainly not without knowing what was up for auction.

Be a lot of dogs tied up outside. Would'nt leave mine(well maybe if I thought someone might pinch him!) And they are not allowed to be left unattended in hotel rooms or self catering properties.

As the auction seems to be the sticking point as to who will stay, the weather, lack of food, getting home and getting bored, could this be done on line through EBay? All nutcases would be aware of the on line auction in advance and could bid in their own time say a week before the event and collect at prize giving, or if they are not staying when they book in. The money total would be would be known in advance and no one gets wet bored or hungry. I am sure people would bid the same as they would at Ilfracombe and possibly more interest too.

For me the Auction is a big part of the last day as it's fun to see people fight it out (as long as it's not members of the same family biding on the same item )

I guess being our first run another lesson learnt for us is to pack food for the monday and have a good breakfast (tho we had bacon & egg baps at Sunshine in the morning as that was all we fancied, might have to stretch to a full english next year.) I like the idea of the online auction, tho i'd have to learn how to do more stuff with my computer, it'd make the money counting easier (perhaps).
Maybe booking the correct weather for Ilfracombe is more of a priority
I don't think you can beat a real auction as opposed to on line. Not all our members use on line technology. The appeal is Terry pleading and achieving.

The smuffs had two albums that where top notch , stars wars had a musical show at the 02 arena in the spring . i love the idea for something more relaxed a few days after like a pub run or a bbq to chill . The Auction could work on the monday morning as every body whos going on the run is there + the public want be more involved there than at ilfracombe so they may bid as well . This would give more time for prize giving ( more awards , childrens choice , clubs choice , bikers fav mini .)and time to count the money as the total raised is important . This was are third year and despite the weather was are best year yet and already can't wait for next year :

I did not realise that was you. Very good effort and different. I think we should wear name badges with our user names on.
On behalf of our Club, we thoroughly enjoy the auction/raffle etc. at Ilfracombe - the only reason we had to leave before it ended was due to the time, not because we were bored - far from it !
My own personal opinion on the auction/raffle is that if you move it to earlier in the day, rather than at the end, people will not complete the drive on the Monday. To me, it's what completes the day / event. Rather than consider moving it, look to improving it - earlier comment suggests listing prizes for the raffle/auction in/on the envelopes you get, when you book in, which I think is a good idea (so everyone can see what's on offer - as organiser of the event, for our Club, members rely on me to keep them in order/up to speed and don't access details online themselves). Look at the parking at Ilfracombe again - by the time we had parked up and got to the presentation, it had already started and we had to leave before it was complete - as I say, nothing to do with being bored, but the day ran late and we had to go.
I feel terrible criticising the event in any way, to be honest - we travel down from Kent / Surrey / Sussex each year and each year, we are bowled over by how fabulous it is!
One item I'd like to mention, as I have done previously, can the winners be detailed on the website? As we had to leave, we missed what had won. As most members voted, they would be interested to know what won the different categories. Maybe in future, details could be posted online after the event, possibly with pictures of the winning vehicles?
As I say, hate to be seen to be criticising the event - the effort that goes into this each year is unbelieveable - and I know it's easy to say ' improve this & that ', without knowing in great detail how it is done now. No matter how well planned, things will always go a little awry - but my feeling is that most Mini-people don't mind. I am sure if people leave early on the Monday, it certainly isn't through boredom, the time factor plays a big part.
I wonder how many other events would be brave enough to do what I do and ask how we can improve the LGT, Well I just want everyone to know as I have said before I listen and I take note about all the moans but then I never invite them back. Looks like I will be doing the Grand Tour on my own next year.

Yes, we might need more marshalling here or there, but we can do that. Now we know, we can include suggestions in our Marshalls Meeting. The issue with the money counting has been addressed, with the allocating of specific duties to specific people, and removing money counting duties from some, so they can concentrate on ensuring the totals are correct. One issue that might help (suggested above) is to ask for sponsorship etc. to be handed in earlier/be in cheque form - and I wondered whether we could set up a collection point at Westward Ho! for the Monday people? Just a thought.
